Automating the financial settlement of micropayments
A Slovak SMS micropayment aggregator (a payment platform)
A monthly settlement of hundreds of documents that took about four person-days was automated from calculation through documents to posting and archiving — down to about 15 minutes.
Monthly routine ~4 days → ~15 minutes · ~250 documents a month
Challenge
The aggregator settles about 120 partners a month. Documents had to be filed by hand in the right places and the accounting exports were incomplete and inaccurate — the monthly routine took on the order of four person-days.
Solution
Our team built a system that runs the whole monthly cycle on a single command or fully automatically: for each partner it splits the revenue across operators and the bank, generates credit notes and invoices, e-mails them out, exports to accounting and archives to SharePoint.
Results:
- The monthly routine from about 4 person-days to about 15 minutes (a practical estimate)
- About 120 partners and about 250 documents settled each month
- Revenue-share breakdown across all mobile operators and the bank
- Direct export into the accounting software including payments and set-offs, with no manual fixes
- Automatic archiving of documents into Microsoft 365/SharePoint
The whole monthly cycle on one command
For each partner the system splits revenue between mobile operators and the bank, generates credit notes and invoices, and e-mails them out with attachments. Configuration is per partner with no programming — toggles, templates, recipients, day of the month. For specific partners a dedicated calculation routine runs over a separate data source.
Documents straight where they belong
Exports go directly into the accounting software — invoices, credit notes, payments and set-offs — and import with no manual fixes. A payment order is exported to the bank, and PDF documents are archived automatically into SharePoint in a per-year, per-month structure. A routine that used to take days became a few minutes — and the accounting data is correct.
