Invoice register and payment control for a major project
A Slovak branch of a multinational construction group (a major infrastructure project)
Central register of incoming invoices including intercompany and re-invoicing, department-based approval and payment control for treasury. A bilingual interface for an international team (EN/SK).
Hundreds of invoices, an international finance team
Challenge
A major infrastructure project with many subcontractors and several invoicing types needs order in costs and payments — for the finance department and treasury, in an international setting.
Solution
Our team built an internal finance system: a central register of incoming invoices (regular, intercompany and re-invoicing), department-based approval, and payment planning and tracking. The interface is bilingual (EN/SK) for an international team.
Results:
- A central register of three invoice types including intercompany and re-invoicing
- Department-based approval with a generated printed approval document
- Payment control for treasury: instalments, balances, bulk date changes
- Automatic checks (VAT, retention, due dates) with colour-coded risk flags; bilingual EN/SK interface
Order in a major project’s costs
The system records three invoice types matching an international construction firm’s structure and watches cost-item checksums, days to due date and duplicate invoice numbers — with colour highlighting of risky items.
From invoice to treasury
Instalments and partial payments are recorded against invoices, the balance due is calculated, and selected invoices are prepared for treasury. Real production use was evidenced by data with hundreds of invoices and a finance team on the order of a dozen people (a past reference).
